Volunteer Appreciation Events Committee minutes March 20 2013

Date

  • April 27 may be too much on one day for volunteers and staff
  • BW spring hours begin April 17
  • many volunteers are in school and doing exams until late April
  • Friday May 3? Saturday May 4?


What kind of event? Brainstorm

  • BW dance party
  • karaoke party
  • group ride
  • bike prom (or mini bike prom to test out ideas for a public bike prom later in the year)
  • house party + potluck
  • swim day / pool party
  • BW hot tub party

Note from Chris Chan: he has a laser projector (light responds to noise) and bike-mounted speakers


Budget

  • could use $60/mo budget already allocated to BW volunteers... but we'd prefer to keep that $ for regular BW use
  • could seek donations
    • donation of venue, supplies, food, swag/prizes
  • Board approved a $200 budget for 2013 Volunteer Appreciation Events at the March 20 meeting


Who should be on this committee?

  • put call out to listservs for party planner volunteers :)
  • Sarah H has offered to help on committee if asked


Other forms of appreciation

  • camping bike trip, eg. Coreen's idea of Devon Campground, Lee's idea of S24O to Elk Island tipis


When to do Volunteer Appreciation events?

  • could do one big Volunteer Appreciation at end of winter and one at start of winter
  • do smaller get-togethers every few months to encourage socialization (less formal)


Coreen availability for committee meetings

  • She starts F/T at EBC in beginning of April, but is also working at UofA until end of April


Next steps / timeline

  • get volunteer feedback on type of event week of March 25-29 (online survey) / April 5 (verbal feedback)
  • next committee meeting April 6, 7, or 8
    • review feedback and determine what, where, when


Actions

  • Anna will type up minutes
  • Lee to draft email to send to volunteers as a survey of what kind of event they'd actually attend and call out for committee members
  • Coreen will ask BW volunteers in person about what kind of event they'd actually attend and pitch the opportunity to be a committee member
  • Micah, Anna will start to contact places for donations in kind before next meeting (April 6,7,8?)
