Bike Edmonton Board Meeting Minutes for July 2020

President's Report - Jeremy

  • President's Report
  • We've settled into COVID operations, and are doing alright financially, with some government support.
  • Wage subsidy may be extended, which would be a huge help.
  • Many of the board's plans have been put on hold while COVID adjustments are made.

Treasurer's Report - Talha

  • See President's Report for some financial information.

Program Review Committee - Annya/Matt/Rachel/Sarah/Husam

  • Annya will lead the committee update to the board:
  • Discussion
    • Still need to draft an implementation plan to disseminate the survey and collect information
    • Jeremy had suggested to create a survey regarding bike fitting / repair appointments ==> Annya has drafted, and will be seeking feedback from program review committee, then gathering staff feedback.
    • Need to consider what the purpose of the survey is. This survey should be crucial research for the shops, given the crowding that happens in the shops.
    • Instead of having them complete it in the shop, could email it to them after the fact.

Current and Completed Business

Operational Updates - Chris/Molly (15 min)

  • Molly has continued to support Coreen in bike shop operations. Given a return of many volunteers, Molly will be phasing out of that capacity
  • Programs
    • Canadian Newcomers Program: Started and expanding this, where Bike Edmonton helps newcomers get set up with bikes in Edmonton
    • Bike Ambassador Program: show people the ropes of riding and give them tips
    • Boyle Street Tune-ups: providing tune-ups and a card that provides members of Boyle street service and parts at Bike Edmonton. Have provided 2-page COVID-19 prevention document. Went through 13 people for tune-ups in 2.5 hours. Provide lights and educate around visibility.
  • Working on transferring newsletter to a new platform

Fundraising - Molly (10 min)

  • From March until now, have raised over $5000
  • Mid-June - fundraiser went live and raised ~$2000.
  • Will do some small pushes on the fundraising campaign.
  • Positive of fundraiser is finding homes for equipment that was underused in the shops.
  • A shop opening party is not looking likely for the near future.

Board Volunteer Hour Tracking - Jasmine (10 min)

  • Jasmine sending out back-end of the form so that board members can view the hours they've input.

Non-Profit Board Internship - Sarah (10 min)

Schedule a time to meet with your committees - ALL BOARD (10 min)

  • This will be a standing agenda item during board meetings to encourage some momentum in committees
