Volunteer Social Committee meeting minutes June 29 2013

Volunteer Social Committee will organize events with a mix of:

• North events and South events
• At the shops and off-site
• weekend and weekday
• outside of shop hours
• all year, not only summer
• no an on-going commitment (one time things)
• no charge, low cost, and regular cost (be up front about costs)

Ideas for events:

• themed rides
  • eg. the recent Coffee Bike tour, Steam Punk ride, Train Ride, etc.
• ride to an event or attraction together
• soccer or other easy activity
• pub night
  • become friends of Wunderbar, Empress, Devaney's
• art nights
• movie night at shop
• dance at shop
• longer distance rides / camping

General values:

• the purpose is to promote EBC volunteers to get to know each other, break down cliques/groups
• everyone is encouraged to bring a friend
  • helps new volunteers feel supported and less nervous about not knowing anyone
  • helps to get more people familiar with EBC and potentially volunteer :)
• solicit ideas for Volunteer Social Committee events from event attendees
  • welcome/encourage new event organizers (Committee could play supporting role)
  • create an on-going list that can be added to by anyone in Google Docs?
• timing/frequency of events:
  • easy events which dont require any pre-planning = as often as possible!
  • events with more planning = once a month or every 2 months...
• each event should have one Host/Anchor who commits to creating the event invitation, reminders, and be at the full duration of the event so people know who to look for

Upcoming events that can be social events:

• July 13 + 21 Community Garden Bike Tours - Anna
• July 29-Aug 1 Chris Ch's camping trip
• Aug (date TBD) Elk Island camping trip in the teepees - Lee
• Aug (date TBD) North shop movie night+breakfast - Monica
  • Possibly called "Movie Morning Oatmeal Blow Out!"
  • Friday night and a Saturday morning with all-you-can-eat breakfast (oatmeal)
  • need to get a North shop couch! or bean bags

Action items:

• Anna (and hopefully Kevin) will go chat with Wunderbar to see if EBC can do something more formal with them. eg. Free cover for first 5 volunteers to attend?
• All will approach specific people who we individually think may be interested in hosting an event
